Overview

EXECUTIVE ADMINISTRATOR (SIOP-2023-19297):

 

Bowhead seeks Executive Administrators to join our team in providing program management support in a broad range of services to the Shipyard Infrastructure Optimization Program (SIOP) and assisting our US Navy clients in the execution of the SIOP mission. SIOP is chartered with modernizing the infrastructure at four public shipyards in Pearl Harbor HI, Puget Sound WA, Kittery ME, and Portsmouth VA.

 

The Executive Administrator/Project Coordinator handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public. Being an Executive Assistant/Project Coordinator conducts research and information gathering on behalf of the executive and prepares summaries and reports. Manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements. In addition, Executive Assistant/Project Coordinator develops positive and strategic relationships at all levels of the organization. Uses discretion, judgement, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality. May be responsible for directing and deploying support staff or other resources. 

Responsibilities

Job duties include but are not limited to:

  • Support development, review, and maintaining of standard operating procedures (SOPs), process documents and memos, instructions, letters, presentations, and other technical documents;
  • Schedule live and/or electronic meetings;
  • Execute program-wide off-site engagements, to include appropriate logistics, agenda development, and provide facilitation;
  • Secure and equip meeting spaces to provide a comfortable, distraction free environment for events/meetings;
  • Coordinate inputs and agendas of attendees;
  • Perform facilitation to ensure the objectives of meetings/events are met;
  • Record formal minutes and/or summaries of meetings;
  • Document the progress of initiatives and activities
  • Perform other duties as assigned.

Qualifications

The place of performance will be at government facilities at the Washington Navy Yard.

 

  • Requires Bachelor's Degree
  • 4 plus years (4+) professional experience with as an Executive Assistant, supporting C- Suite executives, or Project Coordinator
  • Must be able to multi-task, manage priorities and work independently with little direction
  • Ability to communicate effectively with all levels of employees and outside contacts.
  • Strong interpersonal skills and good judgment with the ability to work alone or as part of a team

 

SECURITY CLEARANCE REQUIREMENTS: Must currently hold a security clearance at the Secret level.  US Citizenship is a requirement for Secret clearance at this location.
