Overview

ADMINSTRATOR ASSISTANT (HITS-R):

 

Bowhead seeks a Adminstrator Assistant to join our team in support of the HITS-R contract to perform a variety of administrative and records management functions within program management. The Administrator Assistant will aid the Program Management staff by assisting in reviewing invoices, confirming completeness of documents and formatting monthly, weekly and quarterly reports. This dynamic individual will also greet visitors, screen and direct phone calls and assist in new hire onboarding and tracking employee databases. The Administrator Assistant will participate in special projects as well as make appointments, set up meetings and coordinate travel arrangements for employees, management and outside customers.

Responsibilities

Other duties may include:

  • Working closely with and in direct support of both Senior Management and Project Managers
  • Compiling and recording technical, financial, and other project data using various database programs for inclusion in reports or presentation materials
  • Accurately maintaining management databases to support both planned and realized business
  • Maintaining statistical responsibility for tracking project objectives, financials, and timelines
  • Conducting vendor and pricing research and data mining for current and planned business
  • Providing a variety of routine administrative support to the facility including facility access control
  • Collecting and delivering various documents or products to client sites and the Bowhead office therefore a valid Driver’s License and a clean driving record in accordance with UIC’s Safe Driver Policy is required
  • Other duties as assigned

Qualifications

  • A High School diploma or equivalent and two to five (2-5) years of relevant experience, or a combination of education and relative experience is required
  • Possess superior verbal and written communication skills; technical writing skills a plus
  • Possess keen attention to detail, initiative, and eagerness to learn and grow professionally
  • Ability to adapt to changing situations, reprioritize and successfully pursue given objectives
  • Ability to be a team player with reliability, intellectual curiosity, and drive to succeed
  • Ability to perform program support functions on multiple projects concurrently
  • Possess ability to utilize Microsoft Office Suite; Word, Excel, PowerPoint, SharePoint
  • Experience utilizing various software programs to collect/track/reconcile programmatic data relative to milestone decisions; Microsoft Project, Deltek Salesforce, and CostPoint is a plus
  • Knowledge of the Federal Acquisition Regulations/ Defense Federal Acquisition Regulations (FARs/DFARs) is a plus
  • Intermediate to advanced level skills in Microsoft Office software suite - Word, Excel, Outlook, PowerPoint

Physical Demands:

  • Must be able to lift up to 25 pounds
  • Must be able to stand and walk for prolonged amounts of time
  • Must be able to twist, bend, and squat periodically

SECURITY CLEARANCE REQUIREMENTS: At this time there are no security requirements, however qualified candidates must be able to obtain a security clearance at the Secret level should that requirement change. US Citizenship is a requirement for Secret clearance and admission to this location.
