Overview

ADMINISTRATIVE ASSISTANT - PLANS, TRAINING, MOBILIZATION & SECURITY (BAMC-2024-21680):

 

Bowhead is seeking Administrative Assistants to support the Plans, Training, Mobilization & Security (PTMS) department at the Brooke Army Medical Center (BAMC) in San Antonio, TX. The Administrative Assistants will be tasked with administrative functions within the medical center at Fort Sam Houston, TX.    

Responsibilities

Essential functions will include: 

  • General administrative duties including, but not limited to, answering and preparing correspondence, scheduling appointments, answering phones and questions from staff and patients.
  • Receive inquiries and provide information on regulations and rules pertaining to the program.
  • Provide briefings related to the program as applicable.
  • Prepare lesson plans and briefing charts as needed.
  • Utilize existing methods to prepare department-specific daily, weekly, or monthly reports by collecting, analyzing, and compiling data. Research, gather, and consolidate material and assist in preparing narrative or statistical periodic and special reports pertaining to the activities of the service.
  • Maintain core military accountability of the S-3 Troop Command data base system and the Defense Medical Human Resources System internet (DMHRSi). Add and depart all Soldiers to/from each system immediately. Ensure all applicable data fields are entered correctly. Maintain and update the Defense Training Management System (DTMS) for S-3 Troop Command civilian personnel. Assist S-3 Troop Command in monitoring compliance with various medical readiness platforms.
  • Assist with follow-up of pending personnel slotting actions based on Department Chief guidance. Pull weekly reports from S-3 Troop Command data systems, Data Store, eMILPO, and DMHRSi, and conduct research to identify personnel not slotted properly. Contact and inform Department Chief on actions requiring correction.
  • Input training data/courses and set rules/requirements for training.
  • Load and update TDA for the organization.
  • Perform other duties as assigned dependent upon the department assigned.

Qualifications

  • A high school diploma or equivalent is required at a minimum in addition to at least two (2+) years’ experience in a hospital administrative environment.
  • Administrative experience in a government and/or hospital setting highly desired.
  • Intermediate level computer/PC knowledge required including Microsoft Excel, Outlook, Word and PowerPoint.
  • Must be able to work in a fast-paced, deadline driven office environment where privacy and confidentiality is critical while working alone and in teams to ensure mission success.
  • Must be able to pass a pre-employment physical and provide proof of TDAP and Influenza vaccinations prior to employment and update as required.

 

Physical Demands:

  • Must be able to lift up to 25 pounds
  • Must be able to stand and walk for prolonged amounts of time
  • Must be able to twist, bend and squat periodically

  

SECURITY CLEARANCE REQUIREMENTS: There are currently no Security clearance requirements however qualified candidates must be able to successfully obtain a NACI check to gain access to the facility. Bowhead retains the right to change these requirements due to contractual requirements. Due to the location of this work, US Citizenship is a requirement for this location.
