Secretary II (TAFB-2025-23873):
Bowhead seeks an experienced Secretary II to provide administrative and clerical support for the Base Telecommunications System (BTS) contract at Travis AFB. The Secretary II will assist the Project Manager, engineering staff, and technicians by maintaining records, preparing correspondence, scheduling, and ensuring contract documentation is accurate and complete. This position requires strong organizational skills, attention to detail, and the ability to manage multiple administrative tasks that directly support mission-essential communications operations.
Essential functions will include:
Administrative Support – Prepare correspondence, technical reports, and contract deliverables for submission to the Government in accordance with PWS requirements.
Records Management – Maintain personnel rosters, training records, CAIRS/TMS service order logs, CVC database updates, and quality control records, ensuring documentation remains current and auditable.
Scheduling & Coordination – Support the Project Manager in coordinating meetings, safety briefings, training sessions, and customer appointments; prepare agendas and meeting minutes.
Document Control – Track, format, and distribute controlled documents such as dig permits, outage reports, hazard communication logs, and environmental compliance records.
Customer & Staff Interface – Serve as an administrative point of contact for Government representatives, subcontractors, and Bowhead employees; maintain professional communication at all times.
Safety & Compliance Assistance – Support submission of OSHA, hazardous waste, accident/incident, and environmental reports as required.
Financial & Timekeeping Support – Assist with timesheet collection, travel voucher preparation, purchasing documentation, and coordination of supply orders.
Required: High school diploma or equivalent.
Preferred: Associate’s degree in Business Administration, Office Management, or a related field.
Minimum: 2–3 years of clerical, administrative, or secretarial experience.
Preferred: 3–5 years in a Government contracting, telecommunications, or technical project office environment.
Mandatory:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong written and verbal communication skills.
Ability to manage records, filing systems, and correspondence with accuracy and confidentiality.
Proficiency in reading, writing, and speaking English.
Recommended:
Experience with DoD administrative systems (e.g., TRIRIGA, CAIRS/TMS, CVC).
Familiarity with contract deliverables, quality control documentation, and FAR/DFARS compliance paperwork.
Typing speed of 50+ WPM.
Physical Demands:
SECURITY CLEARANCE REQUIREMENTS: Must currently hold a security clearance at the Secret level. US Citizenship is a requirement for Secret clearance at this location.
