Administrative Assistant Senior-NAWCAD (NAWCAD-22-0148-W)

 

Bowhead seeks an Executive Administrative Assistant Senior in support of the Naval Air Warfare Center Aircraft Division (NAWCAD) Digital Networks & Applications (DNA) Department located at the Naval Air Warfare Center in Patuxent River, MD. The Executive Assistant relieves the executive of administrative type functions. Takes care of a wide variety of complex situations and conflicts involving the clerical and administrative function of the office that often cannot be brought to the attention of the executive. Composes correspondence requiring knowledge of executive's views, philosophy, and some understanding of technical matters; may sign for executive when technical or policy content has been authorized. Coordinates activities of various clerical departments or workers within department. Evaluates office production, updates procedures, or devises new forms to improve efficiency of workflow. 

Responsibilities

Responsibilities include:

� Travel Support

� Enter/process requests for travel orders, vouchers, and local vouchers using the DTS and track travel orders and claims.

� Training Support - Support Government employee training requests and schedule training. Enter ad hoc training requests and provide instruction/assistance to Government employees entering training requests. Develop, , and provide training to the Government from internal databases in order to identify the number of personnel within each competency, including reports, which depict hires/departures, reassignments, status of personnel, mandatory training, and awards.

� Meeting Support

� Provide administrative and planning support for meetings and events. The Contractor shall maintain schedules for conference rooms, identify appropriate locations for meetings, reserve and set-up meeting locations, send out information to attendees, plan and coordinate logistical, administrative, and security arrangements for leads and attendees, arrange for and check out IT and Audio Visual (AV) systems and equipment, arrange for lunch service, snacks, and refreshments, as needed.

� Preparing statistical reports

� Handling information requests

� Performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

� May also train and supervise lower-level clerical staff. Additional Support

� Provide metrics in support of business operations

� Document and recommend process improvements

� Perform various SharePoint tasks including creating document libraries, uploading files, adding groups and people, and setting permissions

� Prepare briefings, templates and specialized slides

� Coordinate DNA space requirements

� Provide design services, design marketing materials for the department; slick sheets, brochures, and displays

� Develop and compose department communications and official correspondence

� Manage and provide information for data calls

� Develop Standard Operating Procedures (SOPs) and Desk Guides for various business operation activities

� Extract data from a variety of sources and produces reports, charts and graphs

Qualifications

In accordance with Executive Order 14042: Ensuring Adequate COVID Safety Protocols for Federal Contractors, candidates should be aware that they may be required to have received or be willing to receive the COVID-19 vaccine by date of hire.


 


� A senior level has more than ten (10) years of experience performing work related to the labor category functional description and a BA/BS.


� An Associate's Degree plus 4 years' of additional experience performing work related to the labor category functional description may be substituted for a Bachelor's Degree.


� Six (6) years' of additional experience performing work related to the labor category functional description may be substituted for a Bachelor's Degree


 


Physical Demands:  Office Environment - The environmental conditions consist of computer stations and desks with adequate and adjustable lighting.  Chairs are designed to fit the various individuals and the tasks being performed. Ergonomic evaluations are completed as needed, to provide up to date modifications to all work stations.


 


 


SECURITY CLEARANCE REQUIREMENTS: Must currently hold a security clearance at the Secret level. US Citizenship is a requirement for Secret clearance at this location.
